Software, systems & automation for UK property businesses

Cut the chaos.
Gain hours back.
Scale your property business.

We find the repetitive work, disconnected systems and operational bottlenecks slowing your business down — then connect, automate or build what’s missing.

You don’t need to know what should be automated before speaking to us. Finding that is part of our job.

01 Recognition

Your business has grown. Have your systems grown with it?

Nobody sets out to run a property business across eleven different systems. It happens gradually, and for good reasons.

A property CRM goes in. Accounting software follows. A spreadsheet solves an urgent problem and quietly becomes permanent. Somebody builds a form, somebody else keeps a list in their inbox, and the maintenance team starts using WhatsApp because it’s quicker. New staff learn how things work from the people who were there before them.

None of this means the business is badly run. Every one of those decisions made sense at the time, and most of them still work. It is simply what growth looks like from the inside.

The difficulty is that a way of working that suits five people and a hundred properties starts to strain at fifteen people and four hundred. Information about the same property ends up in several places. Keeping everything in step becomes a job in itself. And the effort of running the business grows faster than the business does.

Sound familiar?

  • 01

An email arrives. Someone checks the CRM, finds the documents in another system, updates a spreadsheet, messages a colleague and makes a mental note to follow up.

  • 02

Information about the same property lives in four different places, and no two of them quite agree.

  • 03

The weekly management report exists because somebody spends Friday afternoon building it.

  • 04

Answering a routine landlord or tenant query means gathering the same information, again, from the same places.

  • 05

One process works only because one person knows exactly what happens next.

  • 06

Each new hire adds more coordination than capacity. You are recruiting to keep up with admin rather than to grow.

The systems that got you here may not be the systems that get you to the next stage.

In most cases the business doesn’t lack software. It has plenty. The systems just weren’t designed to work together around the way this particular company operates.

Things we hear

  • “We’re getting busier, but everything feels harder.”
  • “Why are we still doing this manually?”
  • “Only one person knows how this process works.”
  • “We’ve got all this software and we’re still living in spreadsheets.”
  • “Getting a simple answer means checking four different places.”
  • “We need better systems before we grow any further.”

02 What we do

We make the systems behind your property business work together.

Often the problem isn’t a lack of software. It’s that the software you have was never designed to work together around the way your particular business operates. We sit in that gap: a layer between the way your team works and the tools it works with.

Connect

Join up the software and information that currently sit in separate places: your property CRM, email, documents, accounting system, forms, spreadsheets and internal databases. Information moves between them without someone re-keying it.

Automate

Remove the repetitive administrative steps in between. Where a workflow is predictable, we make it run itself, and bring people back in exactly where judgement is needed.

Build

Where the right tool simply doesn’t exist, we build it: focused internal software shaped around your actual process rather than a generic version of it.

These aren’t three separate products, and most engagements combine them. We aren’t attached to any single technology, so the mix is decided by the problem rather than by what we happen to sell.

The central point

You probably don’t need to replace the software you already use.

Many property businesses already have good specialist systems. The opportunity is usually in connecting the gaps between them. So we start with three questions, and technology follows the answers rather than leading them.

  1. i

How does the business actually work?

Not the process on paper. The one your team really follows on a busy Tuesday.

  2. ii

Where does information get duplicated, delayed, lost or moved by hand?

Those points are where the hours go, and where the risk sits.

  3. iii

What is the simplest reliable intervention?

Connecting two systems. Automating one step. Adding an AI-assisted check. A small internal tool. A dashboard. Sometimes, something entirely new.

AI where it helps. Automation where it works. Software where it’s needed.

Sometimes the right answer is AI. Sometimes it’s conventional automation, an API integration or a straightforward piece of software. You shouldn’t have to decide which. That is our job.

03 In practice

What could this look like in your business?

“Systems and automation” can sound abstract. In a property business it looks like this.

01

Maintenance triage

Incoming maintenance emails are read, matched to the right property and tenant, prioritised by urgency and turned into clear, actionable tasks for the team, with the history attached.

  1. Tenant email
  2. Property & urgency identified
  3. Task raised for the team
02

Property management enquiries

Bring together what is in the inbox, the property management system and the document store so staff can answer a landlord or tenant without searching three places first.

  1. Enquiry arrives
  2. Context gathered automatically
  3. Reply drafted for review
03

Compliance workflows

Track required actions, renewal dates and supporting certificates, and surface what needs attention before it becomes urgent. Your team keeps the responsibility; the system keeps the diary.

  1. Certificate dates tracked
  2. Upcoming expiry flagged
  3. Action assigned early
04

Management reporting

Collect operational information automatically and turn it into reports that are simply there on Monday morning, instead of somebody assembling spreadsheets every week.

  1. Data pulled from each system
  2. Compiled overnight
  3. Report in your inbox
05

Document processing

Extract the useful information from tenancy applications, referencing reports, invoices and other paperwork and route it into the right process, ready for a person to check.

  1. Document received
  2. Key details extracted
  3. Routed to the right process
06

Lead and enquiry management

Capture incoming enquiries from every channel, enrich and categorise them, route them to the right person and make sure follow-up actually happens.

  1. Enquiry captured
  2. Categorised & enriched
  3. Routed, with follow-up scheduled
07

Internal operations

Replace the daily copying, checking and updating between systems with connected workflows, so a change made once is reflected everywhere it needs to be.

  1. Record updated once
  2. Synced across systems
  3. Nothing left to re-key

04 Your existing systems

Keep the tools that work. Fix the gaps between them.

Better systems don’t have to mean migrating the whole company onto a new platform, retraining everyone and hoping nothing gets lost in the move. In most cases we work around and alongside the tools already embedded in your business.

That includes the property management software and CRM your team lives in, email, Microsoft 365 or Google Workspace, the spreadsheets that hold things together, document storage, accounting software, internal databases and the third-party services you rely on.

Whether and how we connect to a particular system depends on the access and APIs it provides, and we assess that honestly during discovery rather than assuming. But the principle holds: improvement without ripping apart the systems your team already understands.

  • Property management software
  • Property CRM
  • Email
  • Microsoft 365 / Google Workspace
  • Spreadsheets
  • Document storage
  • Accounting software
  • Internal databases
  • Third-party APIs & portals

05 How we work

Start with the business, not the technology.

Four stages, none of which require you to learn our vocabulary. This is a partnership rather than a large consulting engagement: we get to something useful quickly, then keep improving it.

  1. 01

    Understand

We start with the business, not the technology. Through discovery and observation we learn how work actually moves through your company, which systems are involved and where the friction is.

  2. 02

    Identify

We identify where better connections, automation or software would produce meaningful operational value, and prioritise by practical impact rather than technical novelty.

  3. 03

    Build

We design and implement the agreed solution, integrating with your existing systems wherever sensible and keeping disruption to normal operations to a minimum.

  4. 04

    Improve

We watch how the system performs in the real business and keep improving it as your requirements evolve. This is a partnership, not a hand-over.

06 Why Property Systems Partners

Property expertise belongs with you. Systems expertise is what we bring.

The best solutions come from combining the two. Here is what you can expect from our side of that partnership.

Property-focused

We deliberately specialise in property businesses rather than trying to automate every industry. Knowing what a maintenance escalation, a landlord statement or a tenancy renewal actually involves means we start from the operational context, not a blank page.

Engineering capability

This isn’t limited to connecting no-code tools. Where a problem needs real software, integrations or infrastructure, we build it, and build it to last.

Technology agnostic

We aren’t financially or philosophically committed to forcing every problem through one platform. The right answer might be an integration, an automation, an AI-assisted step or a small piece of software. We’ll tell you which.

Commercially pragmatic

The best system isn’t the most technically impressive one. It’s the one that reliably improves the operation and earns its keep.

Built around your business

We adapt technology to your processes rather than asking your company to reorganise itself around generic software.

Long-term thinking

We build reliable systems that can evolve with the business, not disposable demonstrations. And we stay involved as it grows.

07 Why now

Bespoke software isn’t just for large companies anymore.

Not long ago, custom integrations and internal software meant a development team, a lengthy project and a six-figure budget. That kept them firmly in the territory of large enterprises.

Modern cloud platforms, well-documented APIs, mature automation tooling and AI-assisted engineering have changed the economics considerably. Systems that once only made sense for a national operator can now be built for a growing regional business, at a scale and cost that fit it.

That doesn’t make everything cheap, and it doesn’t mean software replaces people. It means a focused, tailored system is now a realistic option for a property business of your size, where a few years ago it simply wasn’t.

Then

  • Large development teams
  • Long, all-or-nothing projects
  • Enterprise-scale budgets
  • Built for the largest operators

Now

  • Small, senior teams
  • Delivered in focused stages
  • Scoped to the problem at hand
  • Realistic for a growing property business

08 Questions

The questions we’re usually asked first.

All questions and answers
Do we need to replace our existing software?

Usually not. Most property businesses we speak to already run on perfectly good specialist systems: a property CRM or management platform, accounting software, Microsoft 365 or Google Workspace, document storage and so on. The problem is rarely the individual tools. It is the gaps between them.

Our starting assumption is that we work around and alongside what you already have. Replacing a system is something we would only recommend when it is genuinely the simplest reliable answer, and even then it would be your decision.

Do we need to know what we want automated before we speak to you?

No. Discovery exists precisely to identify opportunities from the way your business currently operates. You show us how work moves through the company, what people do repeatedly, where information lives and where it has to be moved by hand. We work out where better systems would make the biggest difference.

Some of the most valuable improvements we find are in processes nobody had thought of as an “automation” problem. They were just the way things had always been done.

Is this just AI automation?

No. AI is one tool available to us, and a useful one for tasks like reading an incoming email, extracting details from a document, summarising a thread or drafting a first reply for someone to check. But it is not the answer to everything.

Depending on the problem, the right solution may be a conventional integration between two systems, a straightforward automated workflow, a small piece of purpose-built software, an AI-assisted step, or a combination. You should not have to decide which. That is our job.

What happens on a discovery call?

You tell us how your business works. What happens when new work arrives, what your team does repeatedly, where information lives and where it has to move, where delays occur and where people have to remember things. There is no presentation and nothing to prepare.

From that conversation we identify where connected systems, automation or software could make a meaningful difference, and we tell you honestly if we do not think we are the right fit. If it makes sense to go further, the next step is a short discovery engagement to map the highest-value opportunities properly.

Discovery call

Let's find out where the hours are going.

A discovery conversation is about how your business currently operates, not about technology. You don't need to arrive with an automation idea. Show us how the work moves through your company and we'll help identify where better systems could have the greatest impact.

  • No preparation needed
  • No presentation, no pitch deck
  • Honest view on whether we can help
